Software for the management of waiting rooms in clinics and laboratories
Clinics and laboratories are often faced with a large number of patients visiting their premises every day. Quite regularly, these health centres find their secretarial department overwhelmed by the growing patient queue. For these medium and large clinics and laboratories, having a waiting room management strategy in place is not only necessary, but crucial. Fortunately, there are currently a number of digital solutions that can support or even replace the secretariat. These are mainly the reception desks and their respective software.
What are the benefits of a waiting room management system?
Some health centres can receive up to 200 or even 300 patients a day. Unless you have a secretariat that can handle the peaks in patient numbers, poorly managed patient reception can damage the brand's reputation. With waiting room management software and a few touch-screen terminals, it is possible to make patient queues more fluid and to offer a better reception experience. This system combining software and touch terminals replaces the ticket distribution manual.
To ensure good waiting room management, it is essential to have good software that is capable of managing a fleet of touch-screen terminals. First of all, it must be capable of registering the arrival of patients. It will then be able to redirect them to their GP or a laboratory manager depending on whether they have an appointment or not. This function of the software is particularly important in the management of queues, which are especially prevalent in large clinics and laboratories.
With a waiting room management system with its software and set of screens, receptionists also have their tasks lightened. They can see in real time the number of people who have reported their presence in the hall. This allows them to prioritise patients. In addition, clinic or laboratory managers have the same data at their disposal via an interface to help them make decisions. Finally, thanks to the accumulation of information, the software can contribute to the establishment of a managerial tool. It can, for example, support the clinic's dashboards by determining the average number of visits over a period, the number of unscheduled appointments, the average waiting time, etc.
Your waiting room management solution with Xifab's touchscreen kiosks
Xifab offers a range of waiting room management solutions for clinics and laboratories of all sizes. Beyond their size, the latter are among the medical structures whose secretariat encounters the most difficulties in managing waiting lines. If you are one of them, you should know that Xifab has some solutions to relieve your service. We propose, essentially, touch terminals for managing arrivals linked to a native software that does not require prior installation. This means easier deployment.
The software that equips our touch terminals for the registration of arrivals in the waiting room is very easy to use for the patient. When they arrive at the site, they will first indicate whether they have an appointment with a doctor or laboratory manager. The software will then ask him which doctor he has an appointment with. To do this, a list of practitioners will be shown on the interface. The patient can choose the name of his doctor by ticking a simple box. The practitioner will be immediately informed of his arrival in the waiting room by an audible or visual alert. From there, the doctor can notify his or her secretary to take charge of the person or to make him or her wait for a while. No manual processing is required each time a patient arrives. The software automatically updates the list of people in the waiting room. In addition, it has a number of features that allow options to be added or removed. For example, it is possible to change the names of doctors depending on whether they are present or not, or even to change the content displayed on the terminals. If the clinic or laboratory collaborates with several practitioners, they each have their own interface and, consequently, their own list of waiting patients.
For clinics and laboratories, Xifab offers three types of rental kiosks or for sale. The first, called LuTab, has an optional top panel, while the OhPad is illuminated. The "BorneX" is more suitable for centres with large waiting rooms. Depending on your choice, we have the possibility to customise the design of interactive kiosks.
